Summary

This is a full-time position responsible for performing a variety of administrative support duties for managerial and real estate professionals. The role involves serving as a personal assistant and requires the ability to handle sensitive information, multitask, and "put out fires" in a dynamic, fast-paced environment. The individual works under general supervision and must exhibit sound decision-making and flexibility. The role also encompasses tasks such as tracking program timelines, managing social media sites, testing business leads, coordinating emails and calendars, and supporting the real estate business functions, including understanding contracts and project sequencing.  To perform this job successfully, an individual must be able to perform each essential duty satisfactorily with or without reasonable accommodation.

Responsibilities

  • Primarily provides administrative support to an Executive Partner(s) on tasks as requested, which may include:
    • Coordinating their calendar and scheduling appointments, meetings and making travel arrangements.
    • Scheduling and seeing to the completion of monthly vehicle upkeep and maintenance.
    • Monthly compilation of expenses.
    • Assisting Partner with the scheduling, coordinating and executing of a variety of business and personal functions and travel.
    • Maintaining and securing confidential reports, analysis and other such information as necessary.
  • Tracking program dates, timelines, and ensuring projects stay on schedule.
  • Managing assigned social media platforms, including posting, monitoring engagement, and responding to inquiries.
  • Handling multi-channel communications such as email, phone, and social media to ensure seamless coordination.
  • Efficiently manages multiple tasks, priorities, and timelines, ensuring that urgent issues are addressed promptly, and operations run smoothly.
  • Proactively identifies and resolves administrative challenges ("puts out fires") to keep business processes on track.
  • Preparing and testing business leads before meetings with management.
  • Assists with reviewing and understanding basic real estate contracts, ensuring compliance and accuracy.
  • Project Sequencing and timeline creation/tracking by helping in developing and maintaining project timelines for real estate deals, coordinating with various stakeholders to ensure on-time delivery.
  • Supports in the administrative tasks surrounding real estate transactions, such as organizing documents and coordinating contract finalization.
  • Works with financial data and calculation models to assist with real estate transactions and reports.
  • Assists with marketing efforts related to the real estate business, including coordinating advertisements and promotional content.
  • Arranges meetings, events, and company functions, ensuring that facilities, services, and budgets are managed efficiently.
  • Establishes and maintains files of correspondence, reports, contracts and other documents of a highly technical nature, uses sound judgment in handling information and material of a confidential nature.
  • Communicates effectively with customers, co-workers, management, and other individuals inside and outside the company, exhibits a professional and courteous manner in dealing with others, and works to maintain constructive working relationships.

Qualifications

  • A high school diploma or equivalent education with four to five (4-5) years of business-related experience; or an equivalent combination of education and/or experience may be considered.
  • Professional knowledge of Microsoft Office applications including Outlook, Excel, Word, and PowerPoint.
  • Proficiency in spreadsheets, database management and word processing.
  • English language fluency, verbal and written.
  • Acceptable results of a pre-employment background check and drug/alcohol test.
